AgentDial Privacy Policy

1. Introduction

AgentDial operates agentdial.io and provides a predictive outbound dialer SaaS platform exclusively for real estate professionals. This Privacy Policy explains how we collect, use, disclose, and protect your information. By using AgentDial, you agree to this policy.

2. Information We Collect

  • Account Information: Name, email, phone, brokerage name, billing details
  • Contact Data: Names, phone numbers, emails, property info for leads you upload
  • Call Data: Recordings, logs, transcriptions, timestamps, dispositions, notes
  • AI Coaching Data: During live calls, audio may be processed in real time to provide coaching suggestions. Post-call summaries and transcriptions may be generated automatically. Call recordings and transcripts processed through our AI features may be used to improve AgentDial's coaching functionality. You may opt out of this use by emailing support@agentdial.io. Opting out will not affect your access to the platform but may limit certain AI features.
  • Google Account Data: If you connect Gmail via OAuth, we access Gmail messages, Google Calendar, and Google Contacts solely to provide email and scheduling features. We do not store Gmail messages beyond what is needed to display them.
  • Usage Data: IP addresses, browser type, pages visited, actions taken
  • Payment Information: Processed securely through Stripe. We do not store full card numbers.

3. Contact Data You Upload

AgentDial acts as a data processor, not a controller, for contact information you upload to the platform (names, phone numbers, property data). You are responsible for ensuring you have the legal right to upload and contact those individuals. AgentDial does not determine the purpose or means of processing for contact data you upload.

4. How We Use Your Information

  • Provide, operate, and maintain the platform
  • Process transactions and manage subscriptions
  • Enable outbound calling, call recording, and AI coaching features
  • Provide real-time AI coaching and suggestions during calls
  • Generate automated post-call summaries and coaching tips
  • Display Gmail and Google Calendar data when you have connected your Google account
  • Send transactional emails related to your account and billing
  • Improve and personalize the platform experience
  • Detect and prevent fraud and unauthorized access
  • Comply with legal obligations

5. Google API Data Usage

AgentDial's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

  • We only request Gmail and Google Calendar access when you explicitly connect your Google account in Settings
  • We use Gmail API access solely to display your inbox and send emails to contacts you initiate communication with
  • We use Google Calendar API solely to create meeting invites and Google Meet links at your request
  • We do not use your Google data for advertising or to train AI/ML models
  • We do not share your Google data with third parties except as required to operate the service
  • You may revoke Gmail and Calendar access at any time from your Google Account settings or from AgentDial Settings

6. Data Sharing and Disclosure

We do not sell your personal information. We may share data with:

  • Service Providers: Supabase (database), Telnyx (telephony), Stripe (payments), Cloudflare (hosting)
  • AI Infrastructure Providers: Third-party AI services used solely to power transcription and coaching features. These providers do not use your data for any purpose other than returning results to AgentDial.
  • Appointment Scheduling: Third-party booking service used to manage demo and meeting bookings.
  • Legal Requirements: If required by law or court order
  • Business Transfers: In the event of a merger or acquisition

7. Automated Decision-Making and AI

AI-generated coaching suggestions and call summaries are informational only. No automated decisions with legal or significant effects are made solely by AI without human review.

8. Data Retention

We retain data as long as your account is active. Call recordings are retained for 90 days by default. Request deletion at support@agentdial.io.

Upon account cancellation or termination, your personal data including contacts, call logs, and recordings will be permanently deleted within 30 days.

9. Security

We implement TLS encryption in transit, encryption at rest, and role-based access controls. No method of transmission is 100% secure.

In the event of a breach affecting your personal information, we will notify you by email at the address associated with your account within a reasonable time as required by applicable law.

9a. Cookies

AgentDial uses essential cookies to maintain your login session and platform preferences. We do not use cookies for advertising or tracking across third-party websites. You can disable cookies in your browser settings but this may affect platform functionality.

10. Children's Privacy

AgentDial is not intended for users under 18. We do not knowingly collect data from children.

11. Your Rights

You may have rights to access, correct, delete, or port your data. Contact support@agentdial.io.

11a. California Residents

If you are a California resident, you may have additional rights under the California Consumer Privacy Act (CCPA) including the right to know what personal information we collect, the right to delete your personal information, and the right to opt out of any sale of your information. 12. Security Vulnerability Reporting

If you discover a potential security vulnerability in AgentDial, please report it responsibly by emailing security@agentdial.io. Include a description of the issue and steps to reproduce it. We take all reports seriously and will respond within 48 hours. Please do not publicly disclose any vulnerability before we have had the opportunity to address it.

We will notify you of material changes by email or platform notice.
